Information for Suppliers


This page is for suppliers who have been booked by a wedding couple to supply services at Cott Farm. If something’s not covered below, please do get in touch!

In advance

You/your company must have appropriate insurance for your services, and your equipment must comply with the relevant legislation (for example PAT testing, drone licensing). Please send evidence of these documents to book @cottfarmwedding.co.uk. We regret we cannot allow suppliers or their equipment on site without written evidence of this in advance.

If your client is expected (or contractually required) to provide you with food and/or drink whilst you provide them with your services at Cott Farm, please discuss this with them in advance. We are unable to provide food or drink for suppliers without prior arrangement with our clients.

If you are booked for a weekend wedding at Cott Farm, access times are as follows:

  • Friday 10am – 5pm to set up
  • Saturday 1pm – 1am (the wedding day)
  • Sunday 10am – 1pm to collect

Deliveries, set up and collections must be between the above times. (Please ask your client their access times if it is not a weekend wedding.) We cannot accept deliveries or collections on your client’s behalf so please ensure you arrange your arrival when they will be there.

Arriving at Cott Farm

Please park in the parking field and report to the wedding/events coordinator when you arrive at Cott Farm so they can direct you on current running times and where to set up.

If you have large/heavy equipment to deliver to inside the barn, feel free to park alongside the bottom of The Barn to unload (see below map). Come through the gate and proceed up the ramp to the kitchen door to report your arrival. You can bring your equipment in to the barn through the fire exit (note this is approached by steps, but it is much closer to parking than the main entrance, plus it’s easier than bringing your kit through guests!). Once you have unloaded, please move your vehicle(s) to the main car park to keep this space clear.

Evening entertainment providers

  • The Barn is one large space which transforms from daytime to evening. Depending on the nature of the event and guest numbers, entertainment providers will usually need to wait for guests to finish eating or speeches to finish before you will be able to set up.
  • We do not currently have a sound limiter fitted. Please help us to keep it this way by being mindful of our neighbours on volume! For this reason, electronic drums are preferred for bands.
  • We recommend performers arrive dressed for their performance. There are no private rooms or changing spaces for you to use, but you are of course welcome to change in the toilets.
  • The usual spot for bands or DJs, in the top right corner of the barn is 5m x 2.5m. More or less space can usually be accommodated on the day, but please ensure the fire exits are not obstructed.
  • The Barn is equipped with 13A power sockets on two circuits.
  • We do not permit smoke machines.
  • All entertainment must finish by 12 midnight on Saturdays (11pm Monday – Friday and 10pm on Sundays). This cannot be extended. All people and equipment must be vacated a maximum of one hour after finish time (ie 1am on a Saturday).

Wedding cakes

  • Wedding cakes can only be supplied by an individual or business registered with the local authority for food hygiene purposes. Please ensure your wedding cake takes into account severe food allergies and provide written allergen information upon delivery.
  • Cake deliveries should usually be made as late as possible before the wedding ceremony.
  • If you are delivering the cake in single use boxes, we do appreciate being one to pack up any leftovers for the couple!

Garden games or outdoor equipment

  • If the client is having an outdoor wedding ceremony, outdoor equipment providers will usually need to wait for the wedding ceremony to finish before you will be able to set up outside.
